    Exclusions:

    Exclusions – The following items are not included in this proposal but are available as an additional service, or separate proposal, as needed:

    • Signage and/or awnings
    • Permit fees, printing, shipping and reimbursable expenses
    • Jurisdictional Zoning, Building Department, or Park Board meetings
    • Any easements, covenants, variances, appeals, zoning and/or historic review, revocable street privileges, parcel consolidation, or other special hearings/meetings required for approvals
    • LEED certification
    • Historic preservation tax/grant application, process, and hearings
    • Presentation style renderings, digital/physical models [see phase 5, for estimated fees]
    • Consultant fees: Mechanical, Electrical, Plumbing, Fire Protection/Alarm, Structural, Civil, Kitchen Equipment, Audio-Visual, Lighting, Interiors, Historic Preservationist, Acousticians, and/or Furnishings
    • All other services not identified

    Additional Services – The selection, specification, or design for any specialty or custom fabricated light fixtures, plumbing fixtures, audio/visual equipment, kitchen appliances or equipment, bathroom accessories, graphic components, renderings, marketing sketches, models, or visual merchandise, shall be considered additional services. Unless specifically stated, these services are not included in the above fees and shall be billed at our current hourly rates.

    Reimbursable expenses, such as reproduction, delivery, permits, mileage, and consultants will be required for this project and are not included in this proposal. Project-related travel, outside of the project area, and expenses including flights, hotel, car rental fees, employee mileage, parking, business meals per diem, and the like shall also be considered reimbursable expenses.

    The following proposal is written to include basic services – pre-design / programming, schematic design, and design development phases – as well as two additional phases for the coordination of budget pricing and the preparation of presentation imagery. The phases and deliverables for each phase are defined below. Hourly rates are included below for services falling outside of this scope.

    No portion of this proposal constitutes a warranty that the project budget will be aligned with project aspirations. We take budget numbers seriously, but can’t promise that the design schemes will meet the target budget. A specific construction budget was not discussed.

    We will be happy to provide a proposal for the remaining phases of work once funding is secured and as the scope and program become more defined. It is important to know that work can be started or stopped at your comfort.

    Retainer $3,000

    Due at the signing of the contract, this amount will be credited on the final invoice.

    Phase 1: Pre-Design / Programming Not to Exceed $4,000

    During this phase, we will collaborate with the project team to gather existing site information, including as-built plans and surveys. We will coordinate with other consultants and agencies as needed. We will develop a comprehensive set of digital as-built drawings in AutoCAD, including site plans and floor plans. This will involve compiling information from existing drawings and conducting limited field verification where necessary. We will extensively document the site through photographs and on-site observations. Existing utility information will be reviewed and, if needed, further investigated by sub-consultants.

    We will create a detailed program document that addresses site conditions, human needs, environmental factors, and technical requirements, culminating in a clear vision statement for the project. We will actively participate in Oakley Community Council meetings and assist in identifying and coordinating with other consultants and design team members. We will conduct research and analysis of relevant precedents to inform our design approach.

    Phase 2: Schematic Design Not to Exceed $6,000

    Schematic Design begins as an outgrowth of the concepts and planning ideas revealed by analysis of the existing conditions and descriptive program. Drawing Dept will continue to lead regular project team meetings and work sessions. We will use the programming phase, our verbal conversations, and charrettes to iterate and develop the concept[s] for the project scope outlined above.

    Drawing Dept will work with the project team to develop the designs informed by new and existing infrastructure of the space. Activities associated with this phase may include but are not limited to:

    • Kick-off meeting with Project Team and Design Team
    • Project Team and Design Team charrettes
    • Initial sketches and diagrams
    • Massing models
    • Elevation studies
    • Integration of technical considerations [with consultant involvement]
    • Schematic lighting plan[s]
    • Discussion of interior finishes, materials, landscape areas [with consultant involvement]
    • On-going participation in Oakley Community Council meetings

    In the course of Schematic Design, several directions will be interrogated and presented for your consideration. With on-going input from the Council and Community, the preferred design will be presented to the Project Team for approval and carried forward into Design Development.

    Phase 3: Design Development Not to Exceed $7,000

    The purpose of this phase is to develop the selected schematic design with further detail and description. This includes analysis of the design approved by the Project Team for compliance with jurisdictional Building Code and the integration of the technical requirements of engineered or specialty systems in coordination with consultants and engineers. Preliminary structural systems and material selections are also developed. It will be important for the later working sessions to include input from consultant engineer professionals, such as Civil / Structural engineer, A/V consultant, and any specialty fabricators. At the conclusion of the design development phase, we will have developed a package of drawings suitable for preliminary [budget estimate] pricing by a contractor or construction estimator. These drawings may include, but are not limited to, the following:

    • Demolition Plan
    • Site Plan
    • Floor plan[s] with fixtures, and equipment by type
    • Reflected ceiling plan / lighting plan
    • Primary elevations with preliminary materials by type
    • Building section[s]

    These drawings and any additional drawings produced may be used by a contractor or construction estimator for budget verification, as described in phase 4 below. However, extensive coordination with a contractor or construction estimator is outside the scope of our basic services. In the event that these services become necessary, they may be provided with your approval as an additional service, or as an amendment to this proposal.

    At the conclusion of this phase, the project design will have a clear direction and will be ready for specific detailing to produce Construction Documents.

    Phase 4: Contractor Coordination and Budgetary Pricing Not to Exceed $2,000

    In this phase, Drawing Dept will assist in obtaining budget pricing from the owner’s preferred contractor or construction estimators for NBDIP application and cost verification, prior to full design documentation. If desired, Drawing Dept can provide the Project Team with a short-list of qualified General Contractors or Construction Estimators.

    Design Team members will be available throughout this phase for contractor interviews, project walk throughs, scope review, and clarification of design intent. Importantly, this also allows the design team to gather feedback from the contractor and their subcontractors regarding approach to construction and adjust as necessary. Upon the award of funding, we will proceed with documentation of the project for construction, included under a separate proposal.

    Phase 5: Presentation Imagery Not to Exceed $6,000

    Drawing Dept will assist with the preparation of necessary graphic presentation materials, which may include rendered and annotated 2-dimensional site plans, architectural plans, and elevations. This phase includes the creation of a digital model for the production of up to four rendered perspective images, useful in communicating the design concept non-technically. These images would include major design elements indicative of program and finishes. Renderings would utilize collage techniques and include entourage to depict the space in use. At the conclusion of this phase, Drawing Dept will provide the design document with all drawings in PDF format. We will coordinate with the project team for any ancillary material needed for the design document. The mounting of renderings for display can be coordinated and billed directly through our reprographics vendor.
